Acceptance criteria#
The checks a proposed delivery must satisfy before a buyer accepts it. These might address format, scope or completeness. Put the test, decision deadline and treatment of rejected material in the transaction review.
In practice. A defined case must include an issue, ordered actions and a recorded outcome; a closed status alone does not meet the proposed test.

A description of the fields in a collection: meanings, formats, units, allowed values, missing values and relationships. It helps a reviewer interpret the files without relying on the source system’s interface.
In practice. Define whether “duration” measures minutes between creation and closure or active work time.

An organized description of the collections a business holds, their owners, locations, history and restrictions. An inventory records what exists; it does not establish what can be licensed.
In practice. List approved runbooks separately from client records and employee evaluations.

An agreement granting defined permission to use specified data. The scope of permitted use, recipients, duration and payment belongs in the agreement. Access to a file does not by itself define those rights.
In practice. A proposed license may cover an approved snapshot for a specified evaluation purpose.

Creating economic value from data. Licensing is one possible route; using records to improve an internal process is another. External licensing requires its own scope, rights review and commercial evaluation.
In practice. Reducing repeat support work with an internal knowledge base is different from licensing the underlying cases to another company.

A concise explanation of a proposed collection, its unit of work, coverage, source systems, exclusions, open questions and possible delivery. It is useful before deciding whether a sample should be shared.
In practice. Describe one service line and a defined period rather than offering access to the entire business archive.

A process intended to reduce the association between records and identifiable subjects. The remaining risk depends on the information, transformations, possible linkage and sharing arrangement; removing a name alone does not settle it.
In practice. Review the combination of precise dates, location and rare events as well as direct identifiers.

Records used to assess how a system performs on a defined task. Clarify whether they remain private, become part of a published benchmark or can also be used for training.
In practice. Use a reviewed set of cases to assess whether a system selects the documented escalation path.

A restriction on granting specified rights to other parties. Its practical effect depends on the exact data, uses, recipients, duration and exceptions covered by the proposed terms.
In practice. A restriction on one collection for one use is different from exclusivity over all future business records.

Additional training that adapts a model using a selected dataset. For an owner, the contract question is which model adaptations, recipients and future uses the permission would cover.
In practice. Ask whether permission applies only to a named model or also to later versions.

A list identifying the items in a specific release, together with the version and supporting descriptions needed to trace it. Keep it aligned with the approved scope and delivery record.
In practice. Record which files belong to candidate-01 so a later revision cannot be mistaken for the original sample.

The amount retained after defined fees and costs are deducted from a payment. State the deductions and whether taxes, timing and ongoing obligations are included; a headline payment is not the same measure.

The documented origin and history of records, including collection and changes. It helps reviewers understand where material came from and how a proposed release relates to the source.

Replacing identifying references with alternative labels. It can preserve links between records, but does not by itself establish anonymity or authorization for a new use.
In practice. A stable case label may connect a conversation while a separate internal table still links it to the source.

A selection designed to reflect the relevant characteristics of a defined population. Describe the selection method and its limits; a showcase of unusually complete cases serves a different purpose.
In practice. Review coverage across relevant periods and categories rather than choosing only the best records.

A process that retrieves relevant material to help a system produce an answer. RAG stands for retrieval-augmented generation. Define which records can be retrieved, who can query them and what may appear in outputs.
In practice. A system consults an approved procedure when answering a workflow question.

A defined version of a collection at a particular point in time. A snapshot does not inherently include a duty to provide later updates.
In practice. Separate a reviewed historical export from an ongoing monthly delivery obligation.

Permission for a licensee to grant specified rights to another party. Clarify allowed recipients, uses and onward-transfer conditions rather than assuming access stays with the original buyer.
In practice. Ask whether an intermediary may let other companies evaluate or train on the delivered material.

Examples used in the process of developing or adapting a model. “For training” is still an incomplete commercial scope: clarify the models, recipients, activities and duration being authorized.
In practice. A proposed training permission should identify whether future models and onward transfers are covered.
